QUESTIONS FINANCE LEADERS ASK

Asked, answered.

If your question is not here, email hi@solvebooks.com. A CPA answers, usually the same day.

What does Solvebooks actually do?

We run the parts of a finance function that eat a CFO's month: the month-end close, payables and collections, sales and corporate tax, multi-entity consolidation and the board pack. The work is done inside your Xero or QuickBooks, on a fixed calendar, and a CPA reviews everything before it reaches you. You keep strategy, the board and final sign-off.

Who is Solvebooks for?

Finance leaders (CFO, VP Finance, head of finance, controller) at companies in the United States and Canada, and founders who do not have a finance leader yet. We do not screen by size or industry: founder-led businesses, companies with a finance leader and a small team, and groups with several entities all fit. What matters is that the recurring work is eating the month.

Do we have to change accounting software?

No. We work inside your existing system of record (Xero or QuickBooks Online), your bank feeds and your spend platform. Nothing migrates, and your data stays in your systems.

How fast is the close?

Our standard is a close in two working days from the inputs being in. CPA review and any open questions follow, so the month is signed off and fully wrapped up within five business days. One client that closed in weeks now closes on that cadence every month. See month-end close.

Who does the work, and who is accountable?

A small team led by a CPA Ontario-registered accountant who owns your account, reviews every output before you see it, and is the person you call. The hands-on work happens inside your systems on a fixed calendar: reconciliations, accruals, payment runs, collections, sales tax filings and the reporting pack. Dave, the founder, has run finance and operations for companies of his own as well as for clients, so the firm looks at your numbers the way an owner would, not the way a bookkeeper does.

Which taxes do you handle?

US state sales tax, GST/HST and provincial sales taxes, and Canadian corporate tax. For groups with a US subsidiary we keep the US books, consolidate, and handle intercompany balances and transfer-pricing support with your advisors. We do not provide audit or other assurance services.

How is it priced?

A fixed monthly fee for an agreed scope, written down before we start. No hourly billing and no surprise invoices. Scope changes are priced before they happen.

Will you work alongside our existing team?

Yes. Most engagements embed next to an existing finance leader or a small team. We take the recurring work; you keep judgement calls, the board and final sign-off. If there is no finance leader yet, we also act as the finance function until there is one.

What systems do you work in?

Xero and QuickBooks Online as the system of record; Ramp and similar spend platforms; bank feeds; and Google Sheets or similar for reporting models and forecasts. Other tools are usually fine; ask.

Is our data secure?

Your data stays in your systems. We work inside them rather than exporting your ledger elsewhere, access is limited to the people on your account, and the firm carries professional liability insurance. CPA Ontario professional obligations apply to everything we do.

Do you do audits or reviews?

No. Solvebooks does not perform assurance engagements. We keep the books audit-ready, prepare the schedules, and work with your auditors or review-engagement accountants when you need them.

What happens on the process review?

Thirty minutes on a call. Bring your last close and your current reporting pack. You walk us through how the close, reporting, payables, collections and the tax calendar run today; we tell you what is working, what is costing you time or money, and what we would change first. You get a short written read-out of what we saw. If it makes sense, a written proposal with a fixed monthly scope follows within 48 hours, and we usually take over from the next month-end.

Where are you based, and who do you serve?

Solvebooks Professional Corporation is a CPA Ontario-registered firm based in Toronto. We work remotely with companies across the United States and Canada.
